# Social media tools for small business

Start with the free scheduling and analytics tools each network gives you, then add a cross-network tool only when a clear need shows up.

*Guides · Published 2026-10-06*

A sensible place for a small business to start is with the free tools each network already provides: Meta Business Suite, LinkedIn's scheduler, YouTube Studio, TikTok Studio and Pinterest's scheduler. Add a cross-network tool only when juggling those separate logins starts costing you time.

This checklist covers what the free tools do, where they stop, when a cross-network tool is worth adding, and a small weekly routine. Every platform detail comes from the networks' own help pages, opened on October 6, 2026. We name no competing products and quote no prices.

## Which free tools should a small business start with?

Start with the scheduler and the analytics screen on each network where your customers already are. They cost nothing to open, they publish natively, and they are the only place some numbers exist. Here is where to find each one and the scheduling rule the network's own page states:

| Network | Where to schedule | Rule on the official page |
| --- | --- | --- |
| Facebook and Instagram | Meta Business Suite, **Create post**, then Scheduling options | Needs full control of, or Content permission for, the Page or Instagram account |
| LinkedIn profile | **Start a post**, then the clock icon | 10 minutes to 3 months ahead; events, jobs and services cannot be scheduled |
| LinkedIn Page | Your Page, as a super admin or content admin | 1 hour to 3 months ahead; events, multiple photos, reshares, polls, jobs and services cannot be scheduled |
| YouTube | YouTube Studio, **CREATE**, **Upload videos**, **Schedule** card | Schedules a private video to go public at a set time |
| TikTok | Desktop web, **Upload** icon, schedule toggle | 15 minutes to 10 days ahead; scheduled posts cannot be edited, only deleted |
| Pinterest | Create Pin, **Publish at a later date** | Up to 30 days ahead; up to 10 Pins scheduled at once |

The sources are Meta's [Create and manage posts in Meta Business Suite on desktop](https://www.facebook.com/business/help/942827662903020), LinkedIn's [Schedule posts](https://www.linkedin.com/help/linkedin/answer/a1347212) and [Scheduled posts for LinkedIn Pages](https://www.linkedin.com/help/linkedin/answer/a548192), YouTube's [Schedule video publish time](https://support.google.com/youtube/answer/1270709), TikTok's [Schedule video](https://www.tiktok.com/support/faq_detail?id=7078299678101477893) page and Pinterest's [Schedule Pins](https://help.pinterest.com/en/business/article/schedule-pins).

Two notes on the table. TikTok's page says desktop scheduling is limited to a Business Account or an account with 10,000 followers or more, but the sentence is worded unclearly, so check your own account before you plan around it. And LinkedIn gives different windows for profiles (10 minutes to 3 months) and Pages (1 hour to 3 months). Its profile page is labeled "Last updated: 2 years ago", so confirm the limits in the app when you schedule.

## What do the free analytics tools show?

Each network's analytics answers one question the others cannot: how did this post do on this network? Check the path on each, because the screens change. YouTube's help page says an updated Studio began rolling out in July 2026, so your labels may differ.

- **Facebook and Instagram:** in Meta Business Suite, click **Insights** in the left menu. Meta's [About Insights](https://www.facebook.com/business/help/700570830721044) page says Overview focuses on the past 28 days, and the Audience tab shows trends such as when followers are more active.
- **LinkedIn Pages:** in the Page admin view, click **Analytics** in the left menu, then Content, Visitors, Followers and the other tabs, per LinkedIn's [Access your LinkedIn Page analytics](https://www.linkedin.com/help/linkedin/answer/a565590).
- **YouTube:** in YouTube Studio, click **Analytics** in the left menu for the channel, or open **Content**, point to a video and select **Analytics**, per [Get started with YouTube Analytics](https://support.google.com/youtube/answer/9002587).
- **TikTok:** TikTok Studio has an Analytics area with Overview, Content, Viewers and Followers sections for the account, per TikTok's [TikTok Studio](https://www.tiktok.com/support/faq_detail?id=7581820705491229240) help page. Our walkthrough of [how to check analytics on TikTok](https://www.trackmedia.app/blog/how-to-check-tiktok-analytics) gives the full path.
- **Pinterest:** click the hamburger icon, then **Analytics** and **Overview**, which Pinterest's [Review Pinterest Analytics](https://help.pinterest.com/en/business/article/pinterest-analytics) page says shows the last 30 days.

None of these pages publishes a best day or time to post for all businesses. The honest method is to read your own numbers, which the routine below does.

## Where do the free tools fall short?

The gaps are about coordination, not quality. The free tools are separate products with separate rules, and nothing in them combines your networks.

1. **No shared view.** Each scheduled post lives in the network that will publish it. LinkedIn's list is under the clock icon, Meta's is in Content, and TikTok's is on your profile. To see next week you open several places.
2. **Different windows and edit rules.** LinkedIn allows months ahead, TikTok's page says 10 days, and TikTok scheduled posts cannot be edited. Rescheduling a campaign means remembering each rule.
3. **No cross-network link comparison.** A network's analytics reports what happened on that network. None of the pages above describe comparing link clicks from Facebook, LinkedIn and Pinterest in one report.

If you manage several brands or clients on top of that, our guide to [managing multiple social media accounts](https://www.trackmedia.app/blog/how-to-manage-multiple-social-media-accounts) covers the calendar, access and review habits.

## When is a cross-network tool worth adding?

Add one when any of three things is true. This is our checklist, not a platform rule. The figure shows it as a flow.

![Decision flow. Start with free native tools. Question 1: do you post on 3 or more networks every week. Question 2: does more than one person post, or do you need one shared calendar. Question 3: do you want link clicks compared across networks. A yes to any means consider a cross-network tool. No to all three means stay with the free native tools for now.](https://www.trackmedia.app/assets/img/blog/social-media-tools-for-small-business-fig1.svg)

*Three questions for deciding when to add a cross-network tool. The questions are our checklist, not something any platform specifies.*

If you post on one or two networks with one person doing the work, stay native. The free tools above are enough, and every extra tool is another login and another place for a post to fail.

A cross-network tool is not a replacement for the platforms' own analytics. Some numbers only the platform reports, such as Meta's audience tab, so keep opening those screens.

## What does TrackMedia add for a small team?

TrackMedia is a cross-network scheduler with link tracking, and it is free to start with no card required. It covers the three checklist items like this:

- **One composer.** You write one master draft, edit a version for any network that needs different text, see a live character counter for each selected network, and get a ready-or-blocked check per account before you schedule.
- **One calendar and one queue.** The Posts page has a status filter, search and an account filter. The calendar has month and week views.
- **Roles and workspaces.** Owner, Admin, Editor and Viewer roles, with a separate workspace for each brand or client. An Editor can write, schedule and publish. The Team page also says Editors cannot change accounts or keys, so test that in a trial workspace.
- **Tracked links.** Links in clickable fields become tracked short links, with UTM tags added from a template under Settings, Links. The analytics tab shows clicks, top links, countries, referrers and devices over 7, 30 or 90 days.
- **Your own best times.** The best-times view averages engagement by the hour you published and highlights only slots with enough posts, instead of declaring a universal best time.

Honest limits: TrackMedia holds scheduled posts itself and publishes them at the chosen time, so they do not appear in a network's own scheduled list. Look in TrackMedia's calendar, not in Meta Business Suite or LinkedIn, for what it has queued. Our guides to [scheduled posts on Facebook](https://www.trackmedia.app/blog/how-to-see-and-edit-scheduled-posts-on-facebook) and [scheduled posts on LinkedIn](https://www.trackmedia.app/blog/how-to-see-and-edit-scheduled-posts-on-linkedin) cover the native lists. Facebook posting is for Pages, not personal profiles. TrackMedia does not publish Instagram Stories. Its analytics show the numbers each network supplies to TrackMedia, which are not every number on the platform's own screens, so use both. Our site copy says every network is included in every plan.

## How do you start a small social media routine?

Keep the routine small enough that you will still do it in month three. This one is our suggestion, not a platform requirement:

1. **Pick two networks.** Choose where your customers already look for businesses like yours. Add a third only after the first two feel routine.
2. **Batch once a week.** Write the week's posts in one sitting and schedule them with the free native tools. Use the rule table above so you do not exceed a network's window.
3. **Read one screen per network.** Once a week, open the Insights or Analytics path from the section above and note one number per post, such as views or clicks.
4. **Test one change a month.** Change one thing, such as the posting hour or the post format, and compare it only against similar posts, such as one video against another video, not against a photo.
5. **Answer the checklist.** At the end of the month, go through the three questions in the figure. If you answer yes to any, try a cross-network tool for one network pair first.

If you do add TrackMedia, you can [start free with TrackMedia](https://go.trackmedia.app/signup), and its [publishing](https://www.trackmedia.app/#publish) features follow this same weekly rhythm.

## How we checked this

We opened each of these pages in a real browser on October 6, 2026. The scheduling rules and menu labels above are copied from them.

**What we could not verify:** Instagram's own scheduling help page, which we did not open for this guide, so Instagram scheduling here is described only through Meta Business Suite; any lead-time limit for Meta Business Suite scheduling, which the page we read does not state; and TikTok's eligibility wording, which is unclear on the page. The Pinterest scheduling page left a blank where an account type should be named, so we do not say which account types qualify. The TrackMedia details come from our own product code and site copy, not from a platform page. We did not read any studies on posting times, so the guide gives none.
